For organizers
Everything an organizer does, in the order you will meet it: get the business ready, create and set up a trip, publish it, manage the people who join, track the money, work with your team and vendors, and close the trip.
Guides
Section titled “Guides”- Get your business ready to publish: Complete your organizer profile and connect payouts. Both are required before any trip can go live.
- Create a trip: Start from scratch, from one of your existing trips, or from a document.
- The publishing checklist: Everything a trip needs before Navigator lets you publish it, and where to fix each item.
- Public or private: Public trips are listed on Discover. Private trips are reachable only by link. You can switch at any time.
- Set packages, deposits, installments and add-ons: The Packages area of Setup holds everything a traveler pays for and when.
- Approvals, capacity and the waitlist: Decide whether bookings are automatic or reviewed, how many people fit, when booking closes, and what happens when it is full.
- Review join requests: Approve or decline the people who asked to join, and what each decision sends them.
- Invite someone to book: A personal invitation opens booking for one person, even on a full or closed trip, and skips approval.
- Cancellation policy and your terms: Set the refund tiers travelers accept at checkout, and add your own tour terms.
- Ask travelers for the information you need: Choose what travelers must provide at checkout, what they can add later, and your own questions.
- Build and update the itinerary: Days and activities, publishing changes after the trip is live, and the PDF.
- Manage participants: The roster, filters, each traveler’s details, rooming, add-ons and exports.
- Message participants: Send the right message to the right people, once or on a schedule, by email or in the app.
- Track trip payments: What has been collected, what is scheduled, what is late, per trip and across your organization.
- Refunds and payments outside Navigator: Refund a card payment, record cash or bank transfers, and void a mistaken record.
- Remove a participant: End someone’s booking. They are refunded in full, whatever the cancellation policy says.
- Invite a co-owner and manage your team: Who can do what, how an invitation works, and how to remove someone.
- Your organizer page: The public page for your business: what is on it, who can see it, and how it performs.
- Share trip details with a vendor: Keep your vendors in one list and export exactly the details each one needs, as a spreadsheet or a PDF.
- What changes after the trip: Participant details stay for two weeks, then only emails remain. Export what you need before then.
- Settings, business details and what Navigator tells you: Your account and business settings, and the emails and notifications you receive as an organizer.
