Ask travelers for the information you need
The Participant requirements card under Setup → General decides what you ask for and when. Keep checkout short; ask for the rest afterwards.
Two moments
Section titled “Two moments”- At checkout: fields the traveler must fill in before reserving. Date of birth, if asked here, also enforces the 18+ rule.
- Later: everything else. It appears as a request on the traveler’s profile, and they share it with you in one consented step.
Standard fields
Section titled “Standard fields”Passport details, a passport photo, date of birth, nationality, dietary needs, allergies, accessibility needs, emergency contact, arrival flight, departure flight. Tick each one you need and mark it required or at checkout.
Your own questions
Section titled “Your own questions”Add custom questions for this trip, free text, each marked for checkout or later.
Approval
Section titled “Approval”The same card holds Require approval, which turns bookings into requests you review. See Approvals, capacity and the waitlist.
What you see
Section titled “What you see”The Participants tab shows a column per field and a Missing info filter. Each traveler’s shared information sits in their detail panel. Passport photos open or download from the roster and the panel; the link works for five minutes.
What the traveler sees
Section titled “What the traveler sees”The exact list of what is missing, on their profile, with a review step before anything is shared, and the option to take it back later. See Share the information your organizer asks for.
