Approvals, capacity and the waitlist
Four settings decide who gets in and when. Three live under Setup → Packages; the approval switch lives with the participant requirements under Setup → General.
Automatic or reviewed bookings
Section titled “Automatic or reviewed bookings”Require approval in the participant requirements card.
- Off: a booking is approved the moment the traveler reserves. If there is a balance, their card is charged right away and they are confirmed.
- On: each booking arrives as a join request. The traveler waits, nothing is charged, and you approve or decline. See Review join requests.
Personal invitations always approve automatically, whatever this setting says.
Capacity
Section titled “Capacity”Two limits apply: the trip’s maximum number of participants, set when you created it, and each package’s quantity. When every package is sold out, or the maximum is reached, the trip shows as sold out.
Booking deadline
Section titled “Booking deadline”Booking closes at the deadline. The trip page then shows Join Waitlist or a greyed-out Booking closed.
The waitlist
Section titled “The waitlist”With Waitlist on, a closed or full trip collects names instead of turning people away. You invite from the list; there is no automatic order. See Invite someone to book.
