Add accommodations to a trip
Accommodations are the hotels and lodgings your travelers stay in. You keep them in one list for your organization, then attach each one to a package. Travelers see where they are staying on the trip page, with photos and a pin on the map.
Accommodations are context for travelers, not inventory. How many rooms a hotel has never limits sales. The number of spots on a package does. See Set packages, deposits, installments and add-ons.
Add an accommodation
Section titled “Add an accommodation”- Open Accommodations in your organization sidebar.
- Choose Add accommodation.
- Give it a Name. This is the only required field.
- Optionally add a Location by searching for the hotel or address and picking it from the suggestions. Typing an address without picking a suggestion does not save it. The location places the pin on the trip map.
- Optionally add a Description, Photos (the first photo is the cover) and a Vendor from your vendor list, so this stay shows up when you export details for that vendor.
- Choose Add accommodation.
The same accommodation can be attached to packages on any number of trips, so a hotel you use every season only needs to be entered once.
Attach it to a package
Section titled “Attach it to a package”- Open the trip, then Setup, then Packages.
- Edit the package and tick Attach an accommodation to this package.
- Pick the accommodation from the list and choose Link to package. You can attach more than one; the first one is shown as the primary stay.
If the trip’s dates fall inside a period you have marked the accommodation unavailable, you see a warning. It is only a warning. Booking is never blocked by an accommodation.
What travelers see
Section titled “What travelers see”The public trip page shows an Accommodation section with the name, description, photos and address of every accommodation attached to any package, and each located accommodation becomes a pin on the trip map. Travelers do not choose an accommodation when they book. Their package decides it.
Edit or delete
Section titled “Edit or delete”Open the accommodation from the Accommodations page to change its details or photos. Changes apply everywhere it is attached.
Delete removes it from your list. An accommodation that is attached to a package, or that has travelers booked on it, cannot be deleted. Edit it instead, or delete it after the package is gone.
Rooming is separate
Section titled “Rooming is separate”The rooming board under Participants builds rooms from each package’s rooming type and occupancy, not from accommodations. See Manage participants.
