Invite someone to book
Two situations call for an invitation: a place freed up and someone on the waitlist should have it, or you want a specific person on a trip that is closed to everyone else.
From the waitlist
Section titled “From the waitlist”- Open the trip, then Participants. The Waitlist card lists everyone who joined it.
- Choose Invite to book next to a name. They receive “A spot opened up” with a personal link. Resend sends it again; Remove takes them off the list.
Anyone else
Section titled “Anyone else”- In Participants choose Add participant, then Send booking invite.
- Enter their name and email. They receive “You’re invited to book” with a personal link and a booking code, and appear as Invited in the Waitlist card until they book.
What an invitation does
Section titled “What an invitation does”- Opens checkout for that person while the trip stays closed to others.
- Makes sold-out packages available to them. Sold-out add-ons stay unavailable.
- Approves their booking automatically. If they owe a balance, the usual 30-minute payment hold applies.
- Works once, for the invited email only.
Adding someone directly
Section titled “Adding someone directly”Add participant → Add directly records a person you have already dealt with outside Navigator: name, email, package or amount, and what they have paid so far. They receive an email with a sign-in link to complete their details. Use this for bookings you took elsewhere, not as a replacement for an invitation.
